Page numbering errors can delay dissertation submission when the document does not follow your university's formatting requirements. Numbers may restart unexpectedly, Roman numerals may appear in the wrong section, or the table of contents may show incorrect page references.
Microsoft Word can handle these problems, but the solution depends on how your document's sections and page numbering are configured. Here is how to set up dissertation page numbers and troubleshoot common errors before submission.
Many universities require two numbering sequences:
Preliminary pages: These commonly use lowercase Roman numerals (i, ii, iii, iv). Depending on institutional requirements, the title page and approval page may count toward the sequence without displaying their numbers. Other preliminary pages, such as the abstract and table of contents, may display Roman numerals.
Main text: The first page of Chapter 1 commonly begins with Arabic numeral 1. Numbering then continues through the remaining chapters and, where required, the references or bibliography and appendices.
Page number placement also varies. Your institution may require numbers in the upper right corner, centered at the bottom, or in another specified position.
Check your graduate school's dissertation guidelines before changing your document. Do not assume that every university follows the same rules.
The following steps assume your institution requires Roman numerals for the preliminary pages and Arabic numerals beginning with Chapter 1.
Place your cursor at the beginning of the first chapter, then select Layout → Breaks → Next Page under Section Breaks. This separates the main text from the preliminary pages.
If Chapter 1 already begins in a separate section, check the existing section breaks before inserting another one.
Double-click the header or footer where your page number should appear.
Select Insert → Page Number and choose the required position.
Select Page Number → Format Page Numbers.
Choose lowercase Roman numerals as the number format.
Set the starting number according to your university's requirements.
To hide the number on the title page while retaining its place in the sequence, use Different First Page for the section containing that page. Check the remaining preliminary pages to confirm that their numbers display correctly.
Open the header or footer on the first page of Chapter 1.
Turn off Link to Previous if the main text needs a different numbering format from the preliminary pages.
Select Page Number → Format Page Numbers.
Choose Arabic numerals (1, 2, 3).
Select Start at: 1 and confirm the change.
Check the first few pages of Chapter 1 to ensure that numbering continues correctly.
Page numbers restart in the middle of a chapter
An unexpected restart may result from a section break or a section's numbering settings. Open the affected header or footer, select Page Number → Format Page Numbers, and choose Continue from previous section if continuous numbering is required. Check the surrounding section breaks if the problem persists.
Roman numerals appear in the main text
Check that Chapter 1 begins in the correct section. Open its header or footer, disable Link to Previous if necessary, and set the number format to Arabic numerals starting at 1.
Page numbers are missing or appear on the wrong pages
Check the header and footer settings for the affected section. Confirm that a page number field is present and that Different First Page or Different Odd & Even Pages has not created a separate header or footer that needs its own configuration.
Page numbers appear in the wrong position
Open the relevant header or footer and select the required position under Insert → Page Number. Check each section because different sections may have separate header and footer settings.
The table of contents shows incorrect page numbers
Right-click the table of contents, select Update Field, then choose Update entire table. Do this after finalizing headings, page breaks, and pagination.
Before submission, confirm that you have:
Followed your university's page numbering requirements.
Used the correct numbering format for preliminary pages.
Started Chapter 1 at page 1 if required.
Kept numbering continuous wherever required.
Displayed numbers in the correct position.
Checked title page and other preliminary page exceptions.
Updated the table of contents after finalizing the document.
Page numbering is easy to overlook during drafting, especially when chapters are combined or reorganized. A final check of each section can catch errors before submission.
